How does call tracking work, step by step
Call tracking works by giving each source its own tracking number, which forwards every call to your real line and logs it. Google describes the path for its forwarding numbers in four steps: display one instead of your business number, log the call's time, duration, campaign and ad group, route it to your actual line, and report on it. Calls to a Google forwarding number still connect for 60 days after the caller's first call.
Setting one up takes four steps.
- Get a number: pick a country and area code, and a real number is provisioned.
- Point it at your line: set the number it rings through to.
- Place it where you want calls counted: a listing, a campaign or a web page.
- Read the log: who called, how long and whether it connected, missed calls included.
Lead Recorder's call tracking add-on, $29 a month on top of an active plan, gives you 2 forwarding numbers and 150 call minutes, labeled by channel, and logs who called, for how long and whether it connected, as read on November 1, 2026. The call tracking pricing guide sets its fees beside the main tools.

Try Lead Recorder, no card needed →Source numbers and number swapping
CallRail uses two kinds of tracking number. A source tracking number is one static number for one campaign. A website pool swaps the number for each new visitor, a method called dynamic number insertion, which ties each call to a visit.
Each pool number belongs to one visitor at a time, and a returning visitor sees the same number. Keyword-level Google Ads calls need the pool, and Google's forwarding numbers do the same job for ad visitors. Lead Recorder labels each number by channel and does not swap.
What a call record holds
A call record holds the caller's number, the length of the call and whether it connected, with missed calls logged too. A CallRail record names the channel or campaign source too. CallRail and CallTrackingMetrics (CTM) include call recording, and WhatConverts charges 2 cents a minute for transcription; Lead Recorder's add-on does not record or transcribe.
A call is tied to a visit only when the data allows it: Lead Recorder matches one only when exactly one visitor could have made it. Laws on recording calls differ across U.S. states, so check yours.
Do you need call tracking at all?
Not always.
- If your only question is how many calls your Google ads produce, Google Ads call reporting is free and no paid tool is needed.
- If leads arrive mostly by form or phone tap, tap and form tracking may be enough, and Lead Recorder includes taps on every plan.
- If you need to know which campaign made the phone ring, a tracking number does it; for recordings, pick a tool that records, such as CallRail.
The how to track phone calls from website guide covers the three ways to set one up, and best call tracking software compares the paid tools.
Where call tracking can go wrong
A swapped number on a page cannot be verified by Google scanning your site, so the domain has to be verified instead. Google's default tag tracks one number per page. Business Profile's Calls metric counts clicks on the call button, not connected calls. Lead Recorder's numbers are fixed per channel, so a number on your listing counts the calls that listing brings.
Lead Recorder's add-on works in the United States, Canada and Australia, while its tap and form tracking starts with no credit card, on what its home page calls a 14-day free trial.
