Best call tracking software for a small business: what each option does and when none is needed

Six ways to track calls for a local service business, from Google's own call reporting to CallRail, WhatConverts, CTM, Invoca and Lead Recorder, grouped by job.

Last materially reviewed November 1, 2026

Quick answerStart with Google's own call reporting if Google Ads calls are all you need counted. Move to CallRail, WhatConverts or CallTrackingMetrics when calls are your main lead channel and you want recordings and per-visitor numbers. Lead Recorder suits web forms and phone taps first, with calls as an add-on.
Lead Recorder is likely to fit when

✓ Owners of local service businesses whose leads arrive mainly through web forms and phone taps

✓ Web designers and small agencies who want a source on each client lead without choosing a pool of numbers

✓ Businesses that want a forwarding number that logs calls without recording them

✓ Owners who want a flat, site-based plan rather than usage charges

Important limitations

— Businesses that need call recordings, transcripts or a different number for each visitor

— Teams that want a sales pipeline or CRM in the same tool

— Owners who only need Google Ads calls counted, which Google's own call reporting does

— Multi-location companies and contact centers that need enterprise call analytics

Best call tracking software: a shortlist of six options

Six options cover most cases for a local service business or a small agency. One is built into Google Ads. Four are call tracking platforms: CallRail, WhatConverts, CallTrackingMetrics and Invoca. One is Lead Recorder, a web lead tracker with call tracking as an add-on. The list is not a ranking, because each tool does a different job. Each vendor's own pages were read on November 1, 2026, and amounts are left to the live pages.

What each option does

  • Google Ads call reporting: Google forwarding numbers count calls from call assets and ads as conversions, either by a minimum call length or by AI analysis of recordings. Recording is limited to calls with both parties in the US or Canada, and you can turn it off.
  • CallRail: its base package covers tracking numbers with per-visitor swapping, call recording, call flows, texting and an API. Other packages add conversation analysis, form tracking and an AI answering service, with each package sold at several tiers.
  • WhatConverts: plans named Call Tracking, Plus, Pro and Elite for one account, and larger versions for unlimited accounts. The entry plan lists number swapping, recordings and transcripts, and higher plans add forms, chat, keyword reporting, call flows and customer journeys.
  • CallTrackingMetrics (CTM): Marketing Lite, Marketing Pro, Sales Engage and Enterprise plans. Lite attributes calls and texts to their source with standard recording and IVR routing, and Pro adds form tracking, transcription and agency sub-accounts.
  • Invoca: Pro, Enterprise and Elite tiers by quote, with numbers counted per year. Its pages describe dynamic numbers, recording, IVRs and offline conversion import for brands, agencies, contact centers and multi-location businesses.
  • Lead Recorder: form, phone tap and source tracking from one script tag. Its call tracking add-on logs callers, length and outcome for numbers in the US, Canada or Australia, without recording or per-visitor numbers.

How to compare the options by job and fit

  • Only Google Ads calls matter: use Google's call reporting first. The Google Ads call guide gives the steps.
  • Calls are the main lead channel and you need recordings or a different number per visitor: compare CallRail, WhatConverts and CTM on included minutes, number fees and contract terms.
  • Web forms and phone taps lead, and a forwarding number that logs calls is enough: look at Lead Recorder. The pricing guide shows how its plans and add-on are built.
  • You run several locations or a contact center: Invoca's pages are aimed there, and its quote-based pricing suggests larger buyers than a one-location shop.
  • You are an agency: check the multi-account structure of each tool, since WhatConverts, CTM and Lead Recorder each describe agency options.

When you may not need a paid tool

A paid platform earns its fee only when you act on the data. If a few calls a week come from one source and the front desk can ask callers how they found you, a spreadsheet may do the job. Google's own call reporting counts calls from your ads, and its help page says the forwarding numbers for website call tracking cost you nothing.

Google Business Profile no longer fills the gap. Google ended call history there on July 31, 2024, and its Performance report now counts how many times customers tapped the call button, not who called or how long they spoke. Call tracking vendors fill that gap with a tracking number on the listing. CallRail's Business Profile integration, for example, swaps the primary listed number for a tracking number and keeps the real number as a secondary one. Lead Recorder vs CallRail shows how a platform and a lighter tool differ on calls.

Questions to ask any call tracking vendor

  • How many tracking numbers does my traffic need, and what does each extra number cost?
  • How many minutes are included, how are overages charged and is call transcription billed separately?
  • Which of my ad and listing platforms does it report to, and does it need auto-tagging in Google Ads?
  • Can I export every call and form record if I leave?
  • Does recording need a spoken greeting for callers in my state?
